Job Title: Finance Officer

General Responsibilities
The Finance Officer will support in the managing of all the financial, logistics, and administrative support functions for the organisation including the following:
• Provide support for preparation of project budget, effective and efficient projects’ budget management.
• Ensure completeness of supporting documents in all respect which includes authenticity of signatures, cross-checking attendance sheets and verifying payments made.
• Review retirements and attached documentations, ensure compliance with regulations and timely submission of retirements and correct documentations.
• Review procurements and purchases’ process to ensure compliance to organizational and donor policies and procedures before payment to vendors. Carryout proper checks of vendor profiles before engagement.
• Maintain a schedule of recurrent expenditure for the organisation i.e. Utilities such as Electricity Bills, Water Bills, Internet Bills, and Security, Cleaning services to ensure that they are all paid and accrued on a timely basis.
• Timely preparation of statutory deduction payments.
• Preparation of withholding tax payments.
• Assist with contacts with Federal Inland Revenue Service to facilitate collections of Withholding Tax Credit Notes.
• Ensures timely remittance of staff tax deduction to Federal and State Inland Revenue Boards.
• Prepare monthly staff payroll for approval by the Executive Director.
• Monitor the expenditures and reports (including budget tracking, investigation of variances etc.) to the Executive Director to ensure that program funds are utilized appropriately.
• Report to management regarding the remaining funding available for ongoing/executed projects
• Provide on-the-job orientation and training to the organization staff on cost-effective management.
• Supervise the finance team and management of petty cash system.
• Process all approved payments in line with standard practices with appropriate supporting documents
• Ensure timely preparation of payment vouchers and cheques.
• Supervise timely filling of retired payment vouchers with supporting documents.
• Daily posting of financial transactions in QuickBooks and maintaining financial records.
• Provide administrative and technical support to the Finance team to ensure that all advances are retired and reports are prepared and submitted on a timely basis.
• Assist in providing logistics support to workshops and meetings and handles electronic payments of participants at workshops.
• Preparation of financial reports as at when due (monthly, quarterly, etc.) and submitted to donor.
• Preparation and support of annual financial reports for internal and external audit of projects.
• Carry out banking transaction and recording of daily lodgments and withdrawals.
• Inventory management of all office item and ensuring that requisitions are made on time to prevent stock out.
• Carryout any other duties as assigned by the organisation.
Qualifications
• A minimum of HND/B.Sc. Degree in Accounting, Finance or Economics.
• Must have at least two years working experience with non-governmental organizations or in Accounting/financial management; payroll, purchase ledger, cash / bank reconciliations.
• Strong working computer skills especially in accounting packages, Microsoft Word, Excel and QuickBooks.
• Good analytical, interpersonal, and communication skills.
• Experience of solving complex issues through analysis, definition of a clear way forward and ensuring buy in.
• Ability to present complex information in a succinct and compelling manner.
• Ability and willingness to dramatically change work practices and hours, and work with incoming surge teams, in the event of emergencies.
• Fluency in English, both verbal and written, preferred.
